Teams and roles

How teams, workspace roles and team roles decide who can see and change your architecture, and how to invite people.

Teams

Every workspace belongs to a team. A team holds its workspaces, the people who work on them and one plan with one bill.

  • On your first verified sign-in, Archibara creates a team for you, named after you, on the Free plan. You are its Owner.
  • To start a separate team, for a client or another department for example, open the profile menu, select Teams and plans and then New team. Each new team starts on the Free plan, and its owner manages its access and billing.
  • If you belong to more than one team, the Workspaces page shows a Team selector. Choose a team to see its workspaces; new and imported workspaces are created in the selected team.

Creating and importing workspaces in a team needs the team role Owner or Administrator, and room in the team's plan.

Workspace roles

Access to a workspace is given person by person, with one of three roles:

RoleCan do
ViewerOpen the workspace and its views, search, compare snapshots, play flows, export, and create read-only MCP keys
EditorEverything a Viewer can, plus change the model, views, catalogs, records and flows, create and pin snapshots, and create MCP keys that can write
AdministratorEverything an Editor can, plus invite and remove people, change their roles, manage guest links, see and revoke the MCP keys that reach the workspace, restore snapshots and delete the workspace

A Viewer sees a Read only badge in the toolbar instead of the editing tools. Every action is checked on the server against your current role, including actions from AI clients that use your MCP keys.

Invite someone

Workspace Administrators see Team in the toolbar. It opens Team access with three tabs: Members, Invitations and Members' MCP keys.

  1. Open Invitations.
  2. Under Invite someone, enter the person's Email and choose a Role.
  3. Select Create invitation link, copy the Invitation link and send it to that person yourself.

Where Archibara is set up to send email, the button reads Send invitation instead and the invitation is also emailed; you can still copy the link. Either way:

  • the link works once, only for the invited email address, and expires after 7 days;
  • the link is shown only once, so copy it before you close the dialog;
  • Pending invitations lists open invitations; Cancel invitation stops a link immediately.

The invited person opens the link, signs in with the invited address, and selects Accept invitation. If they are signed in with a different address, Archibara tells them to sign in with the invited one.

Manage members

On the Members tab, Administrators change a person's role with the role selector or remove them with Remove. Removing someone takes effect immediately, including for their MCP keys. A workspace always keeps at least one Administrator.

Team owners and team administrators are Administrators in every workspace of their team; on the Members tab their role shows as Managed in Teams and plans.

Team roles

Open Teams and plans from the profile menu. Owners and administrators of a team see Team members, everyone who has access to any of the team's workspaces, with a team role each:

Team roleWhat it means
OwnerFull control of the team: all its workspaces, its members and its plan and billing
AdministratorAdministrator of every workspace in the team; manages members and the plan
BillingManages the team's plan and subscription
MemberAccess only through the workspace roles they have been given

Only an Owner can make someone an Owner or change an Owner's role, and a team always keeps at least one Owner. People appear in Team members once they have been invited to one of the team's workspaces.

Editor seats

On the Team plan, each person who can change a team's models occupies one paid editor seat: everyone with the Editor or Administrator role in any of the team's workspaces, plus the team's owners and administrators. A person counts once, however many workspaces they edit. Viewers and guests are free and do not occupy seats.

  • When all seats are taken, Archibara refuses to invite another Editor or Administrator and says that the editor seats are full; add seats under Teams and plans first. Open invitations for editors count as well.
  • To free a seat, change an editor to Viewer or remove them in each workspace's Team access, and change team administrators to Member under Team members.

On the Free and Individual plans only the team owner edits; invite other people as Viewers. See Plans and billing for seats and limits.

MCP keys and access

MCP keys are personal. A key never has more access than its owner: every call uses the lower of the key's role and the owner's current role in the workspace. In Team access, the Members' MCP keys tab lists the keys that can reach the workspace, and Administrators can revoke the ones scoped to it. A key made for all of someone's workspaces can only be revoked by its owner; to cut it off from your workspace, remove that person. See MCP and AI clients.
