AI and help

Frequently asked questions

Short answers about data location, privacy, plans, AI access, exports and accounts.

Where is my data stored?

Archibara runs on OVHcloud servers in France, in the European Union. Its database is backed up continuously to storage that is also in the EU. Sign-in is handled by Auth0 and payments by Paddle, each under its own terms. The privacy policy has the details.

Who can see my workspaces?

Only the people who have access to them:

  • people you invited to the workspace, with the role you gave them;
  • the owners and administrators of the team the workspace belongs to.

Guests with a share link see only the one diagram the link was made for, and only until it expires or is revoked. Archibara's own administration area shows accounts, teams and plans, not the contents of your workspaces: the people who run Archibara can open one of your workspaces in the app only if you invite them. See Teams and roles and Sharing.

Do the people I share a diagram with need an account?

No. A guest link opens one live, read-only diagram without signing in. To work in a workspace, people need an account and an invitation. See Sharing.

Do viewers cost anything?

No. On the Team plan you pay for editor seats only; Viewers and guests are free. On Free and Individual the number of registered viewers is limited. See Plans and billing.

What happens when I downgrade or a payment fails?

Nothing is deleted. After a downgrade, content above the new plan's limits becomes read-only until usage fits again, and the confirmation lists exactly what goes over before you agree. If a renewal payment fails, you have 7 days to fix it before the team becomes read-only. Read-only content can still be opened and exported. See Plans and billing.

Is an unused Free workspace deleted?

No. A Free team that nobody has signed in to for 90 days becomes read-only. The next verified sign-in makes it editable again.

Can an AI change my model without me knowing?

An AI client can only reach Archibara with a personal MCP key that someone created, and it never gets more access than that person has. A Viewer key can only read. Every change made through MCP appears in Activity with the source MCP and the key owner's name, it shows up live in every open browser, and batches of changes are preceded by an automatic snapshot. You can revoke a key at any time, and workspace Administrators see every key that reaches their workspace. See MCP and AI clients.

How do I get my data out?

Open the workspace, select Export and choose Semantic model (JSON). The file contains the whole workspace and can be imported into Archibara again. You can also export diagrams as draw.io, Mermaid, PNG or SVG, the model as a Markdown or HTML report, and objects as CSV. See Import and export.

Can I undo a mistake?

Yes. Ctrl+Z undoes your last steps, and Snapshots keeps automatic copies of the workspace from before each change, which you can compare and, as an Administrator, restore. See History and snapshots.

How do I delete a workspace or my account?

A workspace Administrator can delete a workspace on the Workspaces page: open the workspace's menu and select Delete. This permanently deletes the workspace, its views and its history, so export it first if you might need it again.

To delete your account, write to [email protected] from the address you sign in with.

How do I get help?

Signed in, open the profile menu and select Report a problem. Choose a topic, describe what happened and select Send report; the reply comes to your email address. You can also write to [email protected] or use the contact page.
